Talon Hiring Solutions has a client in the Hoover, AL area that is looking for a dependable Receptionist/Administrative Assistant to join the team. This role serves as the first point of contact for clients, vendors, and project partners, and provides essential administrative and project support.

What you will do:

  • Greet and assist clients, visitors, and vendors
  • Answer and direct incoming calls
  • Create and distribute bid lists; documents and project information
  • Verify bidder licenses and confirm proper classifications for project bids
  • Upload plans, specifications, and addenda to Alabama Graphics and Dropbox
  • Coordinate plan review fees and prepare submittals for local and state agencies
  • Assemble and distribute bid documents, plans, and required forms to contractors and project stakeholders
  • Create, review, and distribute project observation reports
  • Maintain office supply inventory
  • Handle incoming and outgoing mail, shipping, and posting requests
  • Schedule lunch-and-learn sessions for staff and maintain documentatio

What you will bring:

  1. Experience in a front desk, administrative, or customer service role (experience in a construction, architecture, or engineering environment preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Dropbox and document-sharing platforms a plus
  • Strong written and verbal communication skills
  • Ability to handle confidential and project-sensitive information with discretion
