Position Summary
The Manager of Executive Support will manage the calendar, inbox and all executive travel for certain executive leaders of Riverstone Logistics. This role will perform administrative duties such as making phone calls, organizing meetings, editing or writing emails, keeping accurate records, and other tasks as needed. This position will also supervise a team of Executive Assistants.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Manage the calendar and email inbox for the CEO, including the scheduling of meetings and conference calls, preparing meeting materials, responding to emails, taking phone calls, etc.
Manage senior executives travel and activities, including accommodations, transportation, meals, and expense reimbursements
Prepare daily and weekly agendas for the CEO
Create and manage expense reports for executive leaders
Coordinate and manage Executive Assistants including holding regular meetings with such assistants
Produce reports, conduct research, develop presentations and spreadsheets for the executive team
Prioritize inquires and requests while troubleshooting conflicts, and recommend alternatives to ensure smooth day to day engagements
Provide a bridge for smooth communication between the c-suite and other internal departments
Manage sensitive matters with a high level of confidentiality and discretion
Develop and carry out an efficient documentation and filing system
Provide support for visitors and clients upon arrival to the corporate office
Provide event management support as requested
Perform other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
Associate’s degree required, Bachelor's degree preferred
Time management and ability to meet deadlines
Experience in developing and implementing internal processes
Proficient in Microsoft Office programs such as Word, Excel, PowerPoint, and Teams
5 or more years of experience in an administrative role reporting to an executive
