Every team member plays a direct role in supporting our patients and strengthening our practice. and the Billing Coordinator is a key part of that mission.Position OverviewThe Billing Coordinator supports the full billing and revenue cycle function for Aloha Psych, ensuring accurate claims submission, timely reimbursement, and strong communication with payers, providers, and patients. This role supports the financial stability and growth of the practice and will be essential as we continue to help more people scale.We are looking for someone who is dependable, detail-oriented, and confident working independently with minimal oversight. Experience in behavioral-health billing including authorizations, denials, AR follow-up, Blue Shield, Medicare, and TRICARE is strongly preferred.This is a part-time position with the potential to grow to a full time based on performance and demand as the practice expands.Key Responsibilities Insurance Management Verify patient eligibility, benefits, coverage levels, and plan rules. Obtain referrals, pre-authorizations, and treatment approvals as required. Maintain working knowledge of Commercial HMO/PPO, Medicare, and TRICARE billing requirements.Claims Processing Prepare, review, and submit clean claims through our billing system (electronic and paper). Review patient and clinician information for completeness and accuracy. Identify and bill secondary insurance when applicable. Reconcile insurance payments, EOBs, and contracted adjustments. Accounts Receivable & Denial Management Follow up on unpaid claims within standard billing cycle timeframes. Investigate, correct, and appeal denied or rejected claims Contact patients to update payment information, insurance update and arrange payment plans when needed. Monitor aging reports and escalate issues impacting reimbursement timelines. Support reduction of patient balances through clear communication and timely follow-up.Patient & Provider Support Respond to patient and insurance inquiries related to billing, benefits, and payment status. Communicate with clinicians regarding documentation needs, authorizations, and billing accuracy. Coordinate with front office staff to streamline workflows and reduce missed or incomplete billing.Compliance & Documentation Ensure strict adherence to HIPAA, privacy rules, and payer-specific billing requirements. Maintain accurate and organized billing records and reporting. Participate in process improvements to strengthen revenue cycle performance.Qualifications Required Minimum 3-5 years of medical billing experience, preferably in a behavioral-health or mental-health setting. Strong understanding of EOBs, insurance correspondence, claims lifecycles, and AR processes. Proficiency with billing systems and common software (Office 365, Excel, Word). High attention to detail, accuracy, and follow-through. Strong customer service skills with patients and internal team members. Ability to maintain strict confidentiality and HIPAA compliance.Preferred Associates degree or higher in Health Information, Medical Billing, or related field. Experience with Medicare and TRICARE billing rules. Familiarity with authorization requirements, payer guidelines, and behavioral-health terminology. Prior experience working in a private practice setting.Compensation & Schedule Pay Range: $28$34 per hour, depending on experience and demonstrated capability. Hours: Part-time Work Environment This position works closely with our administrative and clinical teams.
