Job Title: Assistant Rental Coordinator
Department: UED Rental
Reports to: Rental Manager
FLSA Status: Non Exempt
 Position Summary: Assists in the administration of the Rental Operations and coordinates with the Rental Manager for all day-to-day operations. 
Essential Functions: other duties may be assigned.
· Address all rentals relate phone calls and walk-ins.
· Assist customers with service related calls.
· Process all rental relate documents (i.e.: contracts, waivers, NTO, etc.) to and from customer.
· Handle all transportation arrangements.
· Generate and validate all purchase orders from transport and outside vendors.
· Received approval from credit dept., for any rentals.
· Create rental agreements.
· Handle all rental returns.
· Advise supervisor on any credits, demo and loaner machines by phone and
E-mail.
· Advise supervisor for full credit approval.
· Notify customer on rental repairs to damage equipment within 24 hours.
· Advise supervisor and salesman of rental damages via E-mail with pictures.
· Monitor and maintain the demand list of equipment.
· Process all equipment moving records by using the electronic EMR system.
(shipping and receiving).
· Follow up with yard duties (yard maintenance, fueling machines, machine detailing, shipping & receiving docs, stamping of attachments and walk-around inspection).
· Weekly inventory control on machines and attachments.
· Notify rental coordinators of rental transfers w\sufficient amount of time (follow up with E-mail).
· Maintain work environment.
· All rental contracts must be signed by OWNER if is privately owned or signed by an authorized employee of a corporation.
· All rental contracts need to be followed with: EMR’s, pictures, inspection report.
· File all rental agreements on machine master file.
 Other Functions: 
· Responsible for the office coordination. 
· Assists Rental Department with implementation of new processes.
· Handles customer calls for timely problem resolution.

Education and/or Experience:
Associate's degree (AA) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Language Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedural manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Other Qualifications:
Extensive DBS (Dealer Business System) and AS400 knowledge is required. Working knowledge of warranty process and ESC (Extended Service Coverage).
