Description

The organization supports the position of an Assistant Property Manager who has a proven history supporting commercial properties. Applicants for this position will be self-motivated individuals with a high degree of initiative and professionalism.

Responsibilities

  • Assist the Senior Property Manager in the management of day-to-day operations, including contract services and tenant relations.
  • Assist in monthly accruals and financials.
  • Assist the Senior Property Manager in the preparing and delivering timely, accurate monthly reports including executive summaries.
  • Assist the Senior Property Manager in annual budget preparation.
  • Proactively meets with tenant representatives on scheduled basis. Maintain ongoing tenant contact/relations program to constantly assess needs and help assure the problems are being resolved and are to the satisfaction of the tenants and owners.
  • Communicates regularly with Property Administrator, providing necessary support and information.
  • Coordinate office procedures, setup and supervise maintenance of property and tenant files.
  • Review invoices for proper calculation and coding, ensuring that appropriate supporting documentation is included prior to submitting for approval.
  • Follow established AR guidelines including contacting tenants regarding follow-up on rent payment status.
  • Prepare lease commencement letters; assist in communicating changes to lease information.
  • Performs janitorial inspections and assists the Senior Property Manager with building inspections, solicit and review bids for routine services.
  • Prepare all service agreement and construction agreement documents (including work authorizations, addendums, amendments and contract approval forms).
  • Oversee maintenance of work order and purchase order system.
  • Develop and maintain tenant handbook, ensure tenant information current.
  • Ensure Certificates of Insurance for tenants and vendors are current.
  • Ensure that above standard tenant bill backs are processed in a timely manner.
  • Assist with special projects to support assigned area.
  • All other duties as assigned.

Qualifications

  • Associates or Bachelor’s Degree from an accredited university is required.
  • 5-7+ years of progressive experience in commercial real estate property management is required.
  • Advanced experience and familiarity with real estate management software such as MRI, Nexus and Angus is a plus.
  • Experience in MS Office Suite (Excel, Word, PowerPoint, and Outlook) are required.
